Why a PDF is still the safest format
A PDF looks exactly the same on the client's phone, their laptop and their printer. Nobody can change the amount by accident, it opens without Word or Excel, and an accounts department can file it as it is. That makes it the format most clients expect.
Paper invoices still have a place too: handing one over at the end of a job, leaving it in a customer's mailbox, or keeping a printed copy in the van. A printable PDF covers all of those.
The trade-off with a blank printable form is the same as ever: you write the totals and tax by hand, and your handwriting becomes the record. Filling it in here first means the numbers are right before anything is printed.
How to make and print your invoice
- Fill in your business details once; they are remembered on this device.
- Add the customer and the work. Your usual services become one-tap quick adds.
- Choose a template (Simple, Modern or Bold) and an accent colour.
- Finish the invoice. The done screen shows Download PDF, Share PDF and Print.
- Tap Print to send it to a printer, or Share PDF to text or email it straight from your phone.
If you also want an editable copy, the same screen offers Also as Word · Excel. The PDF is free, with no signup and no watermark.
Printing tips: paper, margins and ink
Letter or A4
US and Canadian invoices use Letter (8.5 × 11 in). Almost everywhere else uses A4 (210 × 297 mm), which is slightly narrower and taller. Duebolt picks the right one from your country. If a client abroad prints your Letter invoice on A4, it still fits; just make sure their print dialog is set to Fit to page or Actual size rather than a custom zoom.
Margins
Keep the printer's scaling at 100% or Actual size. "Fit to page" on the same paper size can shrink the invoice slightly, which is harmless but makes small print harder to read. Avoid borderless printing, which can clip the edges.
Black and white
The accent colour turns to grey on a mono printer. Simple with the dark accent prints most cleanly and uses the least toner. On Bold, the coloured blocks print as solid grey, so pick it only if you print in colour.
Before you print a batch
Print one copy, check the totals and your payment details, then print the rest. Keep one copy for your records.
What a printed invoice needs
A paper invoice gets separated from emails and texts, so it has to stand on its own:
- Your phone number and email clearly at the top, in case the customer has questions.
- The invoice number, so a check or transfer can be matched to it.
- The date and the due date. "Due on receipt" is fine for jobs paid on the day.
- What you did, line by line, including the vehicle, room or address if there were several.
- How to pay: the Zelle number, mailing address for checks, or bank details.
If the customer pays on the spot, give them a receipt instead, or as well. The receipt generator makes one in the same way.
