What a receipt is for
A receipt is proof that money changed hands. An invoice asks for payment; a receipt confirms it arrived. Your client keeps it for their records, their accountant or an expense claim, and you keep a copy for yours.
That is why a receipt shows paid, not due: the date you were paid, how you were paid (card, cash, bank transfer, check) and the amount received. If you already sent an invoice for the job, the receipt can mention its number so both documents line up.
What to put on a receipt
- A receipt number, counting up (RCT-0001, RCT-0002…). Duebolt numbers receipts separately from invoices.
- Your business name and contact details, plus your tax or registration number if you have one.
- Who paid: the client’s or company’s name. Add their address if they need it for their books.
- Date paid and payment method. For a card payment the last four digits are enough; never write the full card number.
- What was paid for, line by line, with quantities and prices.
- Tax shown separately if you charge it, and the total received.
- Optional: the invoice number it settles, and a short thank-you note.
How to make a receipt in Duebolt
- Add your business once. It’s remembered on this device for the next receipt.
- Tap the client, or type a new one.
- Add what was paid for. Your usual items become one-tap quick-adds.
- Open the Receipt details to set the date paid and how it was paid.
- Download, share or print the PDF. It says PAID at the top, with no watermark.
Need to bill first and confirm payment later? Make an invoice now, and when the money arrives open it in your account and tap Make a receipt: everything is copied over.
Receipt or invoice: which one do you need?
| Invoice | Receipt | |
|---|---|---|
| When | Before payment | After payment |
| Says | Amount due, due date | Amount paid, date paid, payment method |
| Purpose | Ask to be paid | Prove you were paid |
| Number series | INV-0001… | RCT-0001… |
Many small jobs are paid on the spot. In that case skip the invoice and hand over a receipt straight away. If a client asks for a “paid invoice”, a receipt is usually what they mean.
Receipts in other countries
Duebolt sets up the tax name, currency and paper size for your country: sales tax and Letter paper in the US, VAT and A4 in the UK and Europe, GST with your ABN in Australia. Switch the document language too, so a client in Sweden gets a kvitto and a client in Germany a Quittung.
If you’re VAT-registered, some countries expect a full VAT invoice rather than a simple receipt for business clients. When in doubt, issue the invoice and mark it paid.
