What a lawn care invoice should list
Your client wasn’t home for most of the cuts. The invoice is how they know you came. Make it specific:
- The property address if it differs from the billing address (rentals, HOAs, elderly parents). The reference field works well for this.
- Each visit with its date, or one line with the number of visits as the quantity: “Weekly mowing, 4 visits”.
- What a standard visit includes, said once: mow, string trim, edge, blow off hard surfaces.
- Extras on their own lines: aeration, overseeding, fertilizer, weed control, bed cleanup, bagging clippings.
- Skipped visits, mentioned in the notes, so nobody wonders whether they were billed.
- The billing period and the due date.
If you apply fertilizer or weed control, also note what you put down. Some states require applicators to leave a record with the customer, and it helps either way when the client has pets or kids.

Per visit, monthly or seasonal billing
Per visit. Simple and fair when the client wants service only when the grass needs it. The downside: lots of small invoices, or one long one at the end of the month.
Monthly, by visits made. The most common setup. Mow all month, then send one invoice listing the dates. A rainy month costs the client less, a wet spring with weekly growth costs more.
Flat monthly or seasonal contract. You split the season into equal payments, for example 8 payments from April to November, whatever the weather. Clients like the predictable bill; you get steady cash flow and sometimes carry the risk of a wet year.
Duebolt doesn’t send recurring invoices automatically. Keep the first month’s invoice, then duplicate it from your account each month and change the dates. Your usual services sit in quick-add, so a new monthly bill takes about a minute.
Ways to get paid faster
- Bill on the same day every month, like the 1st. Clients start to expect it and pay with their other bills.
- Offer Zelle or Venmo next to checks. Most residential clients pay faster from their phone than with a checkbook. Your handles print on the invoice.
- Ask for a card or payment on file for seasonal contracts through whatever payment service you already use, and note the arrangement on the invoice.
- Pause service on overdue accounts after a friendly reminder. Mowing is easy to stop and restart.
- Get the fall cleanup approved in writing with a quick estimate: it’s often the largest bill of the year.
