What a bill format contains
In India, a bill is the document a seller gives a buyer for goods or services. Shops and hotels usually say "bill", and companies usually say "invoice". The layout is the same: your details, the buyer's details, an invoice number and date, one line per item, the tax and the total, and how to pay.
For the full list of GST fields, see the India invoice generator. This page covers how those fields look on a bill, and the common bill types.
GST bill format: GSTIN, codes and tax split
Four things make an Indian GST bill different from a plain one:
- GSTIN. Your 15-character GST number goes under Tax & registration numbers. Add the client's GSTIN too, if they are registered.
- HSN or SAC code. HSN is for goods and SAC is for services. Write the code in the item's description, for example "(SAC 996311)".
- CGST and SGST, or IGST. Within the same state, tax is split into CGST and SGST, half each. Across states, it is charged as IGST, the full rate.
- Place of supply. Write the state and its code in the notes, for example "Place of supply: Karnataka (29)".
| Situation | Tax name in the editor | At 18% |
|---|---|---|
| Same state | GST (CGST 9% + SGST 9%) | Printed as "GST (CGST 9% + SGST 9%) 18%" |
| Different states | IGST | Printed as "IGST 18%" |
The editor has one tax line per rate, and the line reads the tax name followed by the rate. So the name you type is the split you want the client to see. Once a GSTIN is filled in and tax is charged, the title changes to Tax invoice.
Bill of supply for a seller without GST
If your business is not registered for GST, leave the GSTIN empty and set the tax rate to 0%. The editor then prints no tax line, and the title stays "Invoice".
Duebolt does not have a separate "Bill of supply" heading. If you want the bill to say something about GST, write that in the notes in your own words. The notes are free text, so the wording is yours.
Hotel bill format
A hotel bill is a list of charges that often carry different rates, so the layout needs a few extra steps:
- Room charges: one line for each room, with the dates in the description and the number of nights as the quantity. Example: "Room 204, deluxe, 12 to 14 Oct" with quantity 2.
- Food and extras: one line each for the restaurant, breakfast, laundry or parking. Keep them separate so the client can see what each one cost.
- Rate per line: tap a line and pick its rate. When lines have different rates, the paper prints a rate column next to each line.
- Due on receipt: most hotel bills are paid at checkout, so set the due date to "On receipt".
Check the current GST rate for each service before you choose it. Rates have changed in recent years, so the example above uses 18% on every line only to keep it short.
Retail and shop bills
A shop bill is a short list of items with the tax on the total. Use the same layout: one line per product, the HSN code in the description if you have one, the quantity, the price and the rate.
If the customer has already paid and you only need a record, switch the Document setting to Receipt. The title becomes "Receipt" and the total becomes "Amount paid". The receipt generator covers receipts in more detail.
How to make a bill here
- Fill in your business name, GSTIN and PAN under Tax & registration numbers.
- Add your UPI ID and bank details under How clients pay you. They are printed on the bill.
- Add the client. Add their GSTIN if they are registered.
- Add each item with its HSN or SAC code in the description, a quantity and a price. Pick the rate for that line.
- Set the tax name for your case: "GST (CGST 9% + SGST 9%)" within a state, or "IGST" across states. Keep the rate at 18% unless the item needs another one.
- Write the place of supply in the notes.
- Tap Download PDF on a computer, or Get PDF on a phone. Print it from the done screen if you need a paper copy.
