The short answer
Use the form at the top of this page. Fill in your business once, add the customer and the work, then tap Get PDF on a phone or Share & more on a computer. On that screen, Print sends the invoice straight to a printer. Download PDF saves a copy you can print later or from another computer.
Every printed invoice comes out with:
- your name, phone and email at the top
- an invoice number that counts up by itself (INV-0042, INV-0043...)
- the date, the due date and the customer's details
- each line with quantity, price and line total
- subtotal, tax and the amount due, added up for you
- how to pay: Zelle, Venmo, bank details or a mailing address for checks
It is free with no signup and no watermark on the page.
Fill in first, then print
Most "printable" invoice templates are an empty form that you fill in with a pen. That works, but you do the maths yourself, the invoice number is whatever you remember, and the only copy is the one you hand over.
Filling it in here first and printing after fixes those three things:
| Blank form, filled by hand | Filled in here, then printed | |
|---|---|---|
| Totals and tax | Calculator and pen | Added for you |
| Invoice number | You keep track | Counts up by itself |
| Your copy | Carbon or a photo | PDF saved on your device |
| Reprint later | Write it out again | Open it and print again |
| Readable | Depends on handwriting | Always |
If you do want to write some invoices by hand, for example at a market stall with no signal, a numbered duplicate invoice book from an office supply store is the simplest option. You keep the carbon copy and the numbers run in order.
Paper size and printer settings
Letter or A4
The US and Canada use Letter (8.5 × 11 in). Most other countries use A4 (210 × 297 mm). The size is picked from your country, and you can change it under Document details, Paper size.
Scale
In the print dialog choose Actual size or 100%. A custom zoom can push the totals onto a second page. If a customer abroad prints your Letter invoice on A4, Fit to page keeps it on one sheet.
Black and white printers
The accent colour prints as grey. The Simple template with a dark accent gives the cleanest result on a mono printer and uses the least toner.
Printing from a phone
Print opens your phone's print menu, which finds AirPrint and most Wi-Fi printers. No printer nearby? Tap Share PDF, send it to yourself and print it from a computer.
When a paper invoice makes sense
- Handing it over at the end of a job. The customer has the amount and your details in hand before you leave.
- Leaving it with keys, in a mailbox or under a door. Pet sitters, cleaners and lawn crews often bill this way.
- Customers who pay by check. A printed invoice with your mailing address goes in the envelope with the payment.
- Your own records. Some people keep a printed copy in a binder for tax time, next to the PDF.
If the customer pays on the spot, give them a receipt as well. The receipt generator works the same way and prints the same. For a copy you email or text, see the PDF invoice template.
