How to use these examples
Each example below is a short summary of one invoice: who sent it, the lines on it, the tax and the total. The numbers are realistic for the trade and the country, but the businesses are made up. Tax rates are the ones that usually apply to that kind of work; your own situation (registration, location, what exactly you supply) decides what you charge, so treat them as illustrations, not tax advice.
Two things to notice as you read: every line says exactly what was done, and every total can be checked by the client in their head or with a phone calculator. That is most of what makes an invoice get paid on time. If you want the theory first, start with what an invoice is.
United States: a plumber and a cleaning business
1. Plumber, Columbus, Ohio: emergency repair, due on receipt
| Line | Qty | Price | Amount |
|---|---|---|---|
| Emergency service call | 1 | $95.00 | $95.00 |
| Labor, burst pipe repair (hours) | 2.5 | $110.00 | $275.00 |
| Copper fittings and shut-off valve | 1 | $68.00 | $68.00 |
| Total | $438.00 |
No sales tax line is shown here. In the US, whether repair labor and parts are taxed depends on the state, so check your state's rules before you copy this layout. Payment is due on receipt because the plumber hands it over on site. Fill one in with the plumber invoice template.
2. Cleaning company, Phoenix, Arizona: move-out clean, Net 7
| Line | Qty | Price | Amount |
|---|---|---|---|
| Move-out deep clean, 3-bedroom house | 1 | $340.00 | $340.00 |
| Inside oven and fridge (add-on) | 2 | $45.00 | $90.00 |
| Carpet spot treatment | 1 | $60.00 | $60.00 |
| Total | $490.00 |
The add-ons are separate lines, so the client sees what the extra $150 bought. Seven-day terms suit a one-off residential job. See the cleaning invoice template.
UK and Ireland: a designer and a carpenter
3. Freelance designer, Manchester: brand package, VAT-registered, Net 30
| Line | Qty | Price | Amount |
|---|---|---|---|
| Logo design, 3 concepts and final files | 1 | £850.00 | £850.00 |
| Brand guidelines (PDF, 12 pages) | 1 | £400.00 | £400.00 |
| Business card layout | 1 | £150.00 | £150.00 |
| Subtotal | £1,400.00 | ||
| VAT 20% | £280.00 | ||
| Total | £1,680.00 |
Because the designer is VAT-registered, the invoice shows the VAT number, the VAT rate and the VAT amount separately. A sole trader who is not registered would show no VAT at all; our UK sole trader guide explains both cases. Templates: freelancer or UK invoice.
4. Carpenter, Cork: fitted wardrobes, 30 days
| Line | Qty | Price | Amount |
|---|---|---|---|
| Built-in wardrobes, supply and fit (2 bays) | 1 | €3,200.00 | €3,200.00 |
| Skirting board replacement (metres) | 12 | €35.00 | €420.00 |
| Subtotal | €3,620.00 | ||
| VAT 13.5% | €488.70 | ||
| Total | €4,108.70 |
Revenue applies the 13.5% reduced rate to most construction and repair work on buildings, while building materials sold on their own are usually at the standard 23% rate. Templates: carpentry or Ireland.
Australia and New Zealand: an electrician and a landscaper
5. Electrician, Sydney: lighting upgrade, 14 days
| Line | Qty | Price | Amount |
|---|---|---|---|
| Call-out fee | 1 | $120.00 | $120.00 |
| Labour (hours) | 3 | $105.00 | $315.00 |

| Subtotal | $739.00 | ||
| GST 10% | $73.90 | ||
| Total | $812.90 |
This is the full document shown beside the article. The electrician is registered for GST, so the title reads Tax invoice and the ABN is printed. The ATO lists what a tax invoice needs; for sales of $1,000 or more it must also show the buyer's identity or ABN. Templates: electrician or Australia.
6. Landscaper, Christchurch: native garden, 20 days
| Line | Qty | Price | Amount |
|---|---|---|---|
| Garden design consultation | 1 | $180.00 | $180.00 |
| Planting labour (hours) | 6 | $75.00 | $450.00 |
| Native plants (flax, hebe, grasses) | 40 | $14.00 | $560.00 |
| Bark mulch (cubic metres) | 2 | $95.00 | $190.00 |
| Subtotal | $1,380.00 | ||
| GST 15% | $207.00 | ||
| Total | $1,587.00 |
Labour and plants are on separate lines, which helps if the client later asks what the materials cost. Templates: landscaping or New Zealand.
Canada and India: a photographer and a consultant
7. Photographer, Ottawa: corporate headshots, Net 15
| Line | Qty | Price | Amount |
|---|---|---|---|
| Headshot session (hours) | 2 | $250.00 | $500.00 |

| Subtotal | $920.00 | ||
| HST 13% | $119.60 | ||
| Total | $1,039.60 |
Ontario uses a 13% HST. A registered photographer prints their GST/HST number so a business client can claim the tax back. Templates: photography or Canada.
8. Business consultant, Pune: strategy project, 15 days
| Line | Qty | Price | Amount |
|---|---|---|---|
| Strategy workshop (1 day) | 1 | ₹60,000 | ₹60,000 |
| Market research report | 1 | ₹45,000 | ₹45,000 |
| Subtotal | ₹1,05,000 | ||
| GST 18% | ₹18,900 | ||
| Total | ₹1,23,900 |
Most consulting services fall in the 18% GST slab. The invoice shows the consultant's GSTIN, and the client's GSTIN for a business client. Templates: consulting or India invoice generator.
What all eight have in common
Look back over the tables and the same habits show up in every country:
- One job per line. Labour, call-out, materials and add-ons are never lumped together.
- Quantities that mean something: hours, metres, images, visits. The client can see what they are paying per unit.
- Tax on its own line, with the rate, and only when the business is registered to charge it.
- A clear total and clear terms: on receipt for a site visit, 7 to 15 days for consumers, 30 days for business clients who pay in batches.
- The number and the client's reference, so payments can be matched.
To make your own, pick the matching template above, or follow the steps in how to make an invoice. Duebolt sets the currency, tax name and paper size from the country you choose.
